How the “hired” phase works

Everything that happens after you press Move to Hire — and the two simple settings you control for each role.

The journey after “Move to Hire”

Negotiating
Move to Hire pressed. Offer talk happens off-platform.

Accepted
You press Confirm. Closure begins.

Probation
Start date reached. Trial period runs.

Confirmed
Probation passed. The hire is complete.

Between Negotiating and Accepted you press Proceed — NoaH sends the candidate a warm, terms-free confirmation letter and asks them for the information and documents you configured. No salary or terms are ever sent automatically.

The two settings you control

Just two settings — what to collect and who prepares it. Each one has two options: a per-role setting, or your account default (below).

The information and documents you ask the new hire for — e.g. their address or tax details, and files like an ID or signed contract. Each item is marked required or optional.

The WAM (Workforce Admin Manager) who prepares the paperwork — either a team member (internal) or an outside preparer (external).

Each setting has just two options — NoaH uses the role’s own setting if there is one, otherwise your account default:

Who does what

Presses Move to Hire, then Proceed to send the confirmation letter.

WAM — the preparer (internal or external)
Workforce Admin Manager: whoever you authorise to prepare the hiring documents — a team member (internal) or an outside preparer (external). Sets up the checklist for a role and prepares what the candidate delivers. An external WAM signs in straight to their assigned pages and sees nothing else.

Super Admin
Verifies what’s collected for any role and downloads files. Every download is logged.

Your setup checklist

Assign a WAM — internal or external
The one thing you set up: who prepares the documents. Pick a team member or an outside preparer — as your account default, or a different one for a specific role.
The WAM sets up what to collect
They build the checklist of information and documents for the role.
Move to Hire → Proceed
Press Move to Hire, then Proceed — the confirmation letter goes out and the document page opens.

This guide reflects the hired-phase workflow and contract-preparation settings as currently deployed. Terms and offer amounts are never sent automatically; sensitive actions always require a person.
